printing instructions for the A5 planner

A5 planner printing instructions
Below you will find two sets of instructions. Option #1 is if you are printing the A5 size onto letter size paper. Option #2 is if you are printing in booklet form on A4 paper. Please review the instructions before you begin printing your file.

Tips

  • If you are printing your planner at home, it is highly recommended to use a fresh ink cartridge and higher quality paper. White card stock or 24lb - 32b paper is best.
  • Borderless Printing: Check your printer for a borderless printing option. If your printer does not have the option for borderless printing your pages will have a white border along the edges. Unfortunetley not all printers have this feature and some printers may print the pages off center. If you are concerned about your printer we suggest doing a test run before attempting to print all the pages.
  • If you are having your planner printed professionally: Please review the instructions and be familiar with them before you go to the print shop. Before you begin printing the files I recommend showing the files and the instructions to one of the associates and asking if they are able to print the files per the instructions. Some print shops may not be able to print in the format you need. Also asking if a test print can be provided will help you decide if printing the entire file at the print shop will work for you.

Editing Text Fields

  • Make sure you have the latest version of Adobe Reader on your computer. Using another program may not display the correct fonts or text alignment.
  • Editable Text Fields: If the file has editable text fields they will appear as blue boxes in Adobe Reader (refer to individual product listing descriptions to see if the file has editable text). You will be able to type in your own text into the boxes. It is recommended to save the file after adding new information to each page. I also recommend closing the file, re-opening it, and making sure your changes have saved before adding text throughout the entire document.
  • Change the Font Style, Size, and Color: To do this, click on the blue text box and press the below options to open the text dialogue box.
    • on a Mac: Command E
    • on a PC: Ctrl E
  • Editable Subject Titles (Subject Layout Only): The printable planner has editable text on the on the weekly pages which is perfect for typing in your subject or class title! The file is set up so that you can fill in the first week of the month and all the other weekly pages in the month will automatically fill in for you! You will need to fill in the titles for every month before printing.

OPTION #1: Printing A5 pages onto letter size paper

    Materials

    • Printable Planner PDF Files
    • Adobe Reader - Free Download
    • Printer
    • Letter Size White Card Stock (for covers and spines)
    • Letter Size 24lb , 28lb, or 32lb paper
    • Paper Cutter
    • Hole Punch
    • Small Binder or planner that fits A5 inserts

      Printing on Letter paper

      1. Open the A5 file with Adobe Reader.
      2. Select File > Print
      3. In the print Dialogue box under "pages to print" under more options select 'odd pages only'.
      4. Under "Page Size & Handling" select 'Actual Size'. Make sure that the 'choose paper source by PDF page size' box is unchecked.
      5. Under "Orientation" select 'Auto'. This should center the A5 design on the letter size paper.
      6. Click on "Page Setup..."
      7. In the "Page Setup" dialogue box select the printer from the "format for" menu.
      8. Under "Page Size" select 'US letter Borderless'
      9. Make sure the orientation is portrait and the scale is 100% and click "ok"
      10. You should see the page design displayed in the center in the "print" dialogue box.
      11. Click print
      12. Once your Odd pages are printed, you will want to feed that stack of pages back into your printer in whichever direction YOUR printer feeds paper back in. Many printers feed paper differently, you will want to be observant of that. In most cases, you will feed the odd pages in the exact way they came out. Then you can print the even pages. (I recommend doing a test print of 4 pages to make sure you have the correct settings, that paper is being fed in correctly, and that the pages are in order).
      13. In the print Dialogue box under "pages to print" under more options select 'even pages only'.
      14. Then select "reverse pages".
      15. Make sure the previous settings are selected: 'Actual Size' and 'US letter borderless'.
      16. Click print.
      17. You should end up with the pages printed in the proper order.
      18. Trim the pages, hole punch, and insert into your planner.

OPTION #2: Booklet printing on A4 paper

        Materials

        • Printable Planner PDF Files
        • Adobe Reader - Free Download
        • Printer
        • A4 Size White Card Stock (for covers and spines)
        • A4 Size 24lb , 28lb, or 32lb paper
        • Paper Cutter
        • Hole Punch
        • Small Binder or planner that fits A5 inserts
Printing Pages in Booklet Form on A4 Paper
          1. Open the A5 file in Adobe Reader
          2. Add text to the monthly text fields and save file.
          3. Once your edited file is open in Adobe Reader select "File > Print".
          4. In the "Pages to Print" section select "Pages" and type in a page range. I recommend printing in multiples of 4. It is best to not print all the pages in the planner at one time incase there is a mistake. Sample page ranges are 1-12, 13-24, 25-36, and so on.
          5. Under "More Options", look at the section that says "Odd or Even Pages" and select "All pages in range". Make sure that "current view" and "reverse pages" are NOT selected.
          6. In the "Page Sizing & Handling" section select the "Booklet" option. You will see new options available for booklet printing.
          7. For the "Booklet Subset" option, select "Front Sides Only".
          8. For the "Sheets" option, leave the numbers as is. This will show you how many sheets of paper will be used to print the pages.
          9. For the "Binding" option, select "Left".
          10. In the "Orientation" section, select "Landscape".
          11. Click on the "Page Setup" button and select "A4 Borderless". (Check printer manual for this capability). Not all printers are able to print borderless. If your printer does not have borderless printing as an option then you will get a thin white border around the edges of the paper. This will result in the final pages being smaller than they are supposed to be.
          12. Make sure the "Scale" is set to 100% and click "ok".
          13. Print the front pages.
          14. Once your Front Side pages are printed, you will want to feed that stack of pages back into your printer in whichever direction YOUR printer feeds paper back in. Many printers feed paper differently, you will want to be observant of that. In most cases, you will feed the pages in the exact way they came out. Then you can print the Back pages. I recommend doing a test print of 4 pages to make sure you have the correct settings.
          15. Once the pages are back in the printer, with the file open in Adobe Reader select "File > Print".
          16. In the "Pages to Print" section select "Pages" and type in the same page range you used to print the front pages. If you do not know what pages you printed for the front side then the booklet printing will not print correctly. Be sure to keep track of which pages you printed the previous time.
          17. Under "More Options", look at the section that says "Odd or Even Pages" and select "All pages in range".
          18. Now make sure you check the box that says "Reverse pages". If this box is not checked then the pages will not print in the right order.
          19. In the "Page Sizing & Handling" section select the "Booklet" option.
          20. For the "Booklet Subset" option, select "Back Sides Only".
          21. For the "Sheets" option, leave the numbers as is.
          22. For the "Binding" option, select "Left".
          23. In the "Orientation" section, select "Landscape".
          24. Click on the "Page Setup" button and select "A4 Borderless". A lot of printers will reset the settings after each print, you will want to make sure this is set up before printing.
          25. Make sure the "Scale" is set to 100% and click "ok".
          26. Print the back pages.
          27. You will see that the printed page order may not make sense, this is because of the booklet order. Before continuing and printing all your pages, I recommend taking the printed pages and trimming them to make sure everything is printing correctly.
          28. For trimming, I recommend a paper cutter. Place the pages on the paper cutter, align the left edge to the 5.8 inch mark, and trim the pages down the middle.
          29. Once the pages are trimmed you will want to put the pages in the correct order.
          30. If the pages are not in order, please review the steps to make sure everything was correct. Be sure that the page range you selected for the front and back pages is the same.
          31. If the pages are in order, yay! You can now continue printing the rest of the planner pages! Follow all the steps for each page range you print.
          32. Once all your pages are printed then you can punch them and place them in your planner or binder.
